The Coaching Studio is an award-winning leadership development firm dedicated to helping leaders and organizations thrive. We empower leaders to grow and succeed.
We’re looking for a results-driven and detail-oriented Program Manager to join our team, someone who is ready to ensure the successful delivery of all aspects of our programs. At The Coaching Studio, success means working collaboratively, delivering high-quality results, communicating openly, and continuously improving. We’re a small but dynamic team, and if you love problem-solving and making an impact, we’d love to meet you.
As the Program Manager, you play a critical role in delivering top-notch client experiences. You will own all aspects of program implementation, from client-facing communications to event logistics and managing multiple priorities.
You will work closely with the Vice-President, Operations, and the Operations team to develop and implement streamlined, scalable processes for our product lines. You will also play a key role in the participant experience and in measuring programs’ and clients’ success. This role relies on 100% in-office presence to build healthy working relationships with our leadership consultants and team to ensure our programs run smoothly and efficiently.
- Coordinate Client & Participant Communications: Execute client-facing communications by email using standardized, high-quality processes. You will also manage participant attendance, monitor progress to ensure critical deadlines are met, and ensure clear communication throughout the program.
- Manage Event Logistics: Oversee logistics for in-person and virtual events, including venue booking, catering, materials shipping, and arranging necessary tools and transport such as flights and accommodations.
- Support Consultants & Facilitators: Work closely with subject-matter experts to guide them through complex project steps. You will assist consultants with online deliveries, client engagement meetings, and ensure they are supported in their facilitation and coaching events.
- Produce Virtual & In-Person Sessions: Set up in-person sessions at venues and produce virtual sessions by setting up meetings, creating breakout rooms, and troubleshooting technical issues.
- Drive Process Improvement: Work with the Vice-President, Operations to explore, define, and implement processes. You will continuously look for ways to improve current systems by finding gaps and proposing solutions.
- Data & Schedule Management: Ensure scheduling and program execution are complete. You will generate and monitor the master program calendar to ensure accuracy for all teams.
- Materials & Administration: Plan, manage, and procure workshop supplies. You will also format and proofread workshop materials, administer leadership assessments, and assist with data collection and reporting.
You are someone who looks for ways to create a world-class client experience. You thrive in a collaborative environment and build strong working relationships with clients, leadership consultants and internal teams. You might be the right fit if you have:
- Experience using Salesforce or other sophisticated software to manage schedules and program execution.
- Strong organizational skills to manage logistics ranging from venue booking to supplies management.
- The ability to format and proofread workshop materials with high attention to detail.
- Comfort producing virtual sessions, including troubleshooting technical issues.
- A proactive approach to finding gaps in current systems and implementing solutions.
